Control Microsoft Dataverse for Teams Environments Creation

Disabling the Power Apps and Power Virtual Agent app in Teams prevents users from creating new apps and bots but does not prevent the creation of Dataverse for Teams environments. There are other apps (Inspection, Employee Ideas, and Issue reporting) that will create a Dataverse for Teams environment if you add one of those apps to a team. To prevent Dataverse for Teams environments from being created with these apps, these apps need to be blocked.

Microsoft Power Platform data governance policies like data loss prevention and tenant isolation apply to Microsoft Teams and Dataverse for Teams environments, similar to other environment types.

The CoE Starter Kit provides a set of templates that implement our best practices. These templates are designed to help organizations get started with developing a strategy for adopting, maintaining, and supporting Microsoft Power Platform. The kit includes a template implementation of the reactive governance workflows to govern Dataverse for Teams environment creation. Because it's a template implementation, admins can customize the conditions for deletion by creating a copy of the flows.

Given that these controls block environment creator, maker, and user access, we recommend that admins instead use reactive constructs—either by building their own or by using the templates in the CoE Starter Kit—to govern Dataverse for Teams environment creation workflows.

Monitoring and weekly cleanup process

Admins can also monitor inactive Microsoft Teams environments in their tenant and invoke cleanup as appropriate, in addition to having automated cleanup of unused environments in place to free up capacity for more compelling scenarios.

A weekly cleanup deletes environments that:

Have been created more than seven days ago and have no business justification, or the business justification has been rejected by the admin.

Have been created more than 90 days ago and have no apps or flows in the environment.
